Terms of Service

1. Acceptance of Terms

By accessing or using staythevillages.com (“the Site”), you agree to be bound by these Terms of Service. If you do not agree with any part of these terms, you may not use the Site.

2. Platform Description

staythevillages.com is a listing service that connects property owners in The Villages, Florida with prospective renters. We are not a property management company, real estate brokerage, or party to any lease agreement. Our role is limited to facilitating introductions between owners and renters, and providing optional tools to assist with listing management, documentation, and communication.

3. Owner Listing Requirements

Property owners who list on staythevillages.com agree to the following:

  • Proof of ownership required. You must be the legal owner of the property. A government-issued photo ID and proof of ownership — such as a deed, property tax bill, or county property appraiser record — may be required for verification. These documents are reviewed by our team internally only and are never displayed publicly. They are automatically deleted within 24 hours of successful verification. Upon verification, a “Verified Owner” badge is shown on your listing.
  • No property managers. Property management companies may not list on the platform. Listings are reserved for individual property owners only.
  • For-sale disclosure. Properties that are actively listed for sale may not be listed for rent unless the sale status is clearly disclosed to prospective renters.
  • No platform redirect. Inquiries generated through staythevillages.com must be handled directly between the owner and the renter. Owners may not redirect inquiries to Airbnb, VRBO, or other booking platforms for payment processing.
  • Photo license. By uploading photos to your listing, you grant staythevillages.com a non-exclusive, royalty-free license to display, reproduce, and distribute those images on the Site and in related marketing materials. You warrant that you own or have the legal right to use all photos you upload.
  • Third-party access. If you share access links (such as cleaner links or guidebook links) with third parties, you are solely responsible for who you grant access to and any actions they take using those links. Cleaning session photos are automatically deleted 30 days after the session date.
  • Accurate information. All listing details — including pricing, availability, amenities, and property condition — must be accurate and kept up to date.

4. Subscription Plans & Billing

Certain features on the Site — including enhanced listing visibility, phone display, digital lease tools, and analytics — are available through paid subscription plans. By subscribing, you agree to the following:

  • Recurring billing. Subscriptions are billed on a recurring basis (monthly or annually depending on the selected plan). Payment is processed through Stripe. You authorize us to charge your payment method on file at the start of each billing period.
  • Cancellation. You may cancel your subscription at any time through your account settings or by contacting us. Cancellation takes effect at the end of the current billing period. Your listing will remain active until then, after which plan-gated features will be downgraded.
  • Refunds. Subscription fees are generally non-refundable. If you believe you were charged in error, contact us within 14 days of the charge.
  • Subscription changes. If you cancel or renew your subscription, changes take effect at the start of the next billing cycle unless otherwise stated.
  • Listing status on lapse. If a subscription payment fails or lapses, your listing will be downgraded to the base plan. Plan-gated features (phone display, analytics, lease tools, etc.) will be suspended until the subscription is renewed.

5. Lease & Document Tools

Certain subscription plans include access to lease generation, electronic signing, and document storage tools. By using these features, you agree to the following:

  • Owner responsibility. You are solely responsible for the accuracy, completeness, and legal validity of any lease agreement generated through the platform. staythevillages.com provides lease templates as a convenience only and does not provide legal advice. Consult a licensed attorney if you have questions about lease enforceability.
  • Electronic signatures. Electronic signatures collected through the platform are intended to comply with the Electronic Signatures in Global and National Commerce Act (ESIGN Act) and the Florida Electronic Signature Act. By signing electronically, both parties agree that the signature is legally binding to the same extent as a handwritten signature.
  • Document storage. Signed leases and associated documents are stored on our servers for your convenience. We are not responsible for loss of access to stored documents. You should maintain your own copies of all executed agreements.
  • Not a party. staythevillages.com is not a party to any lease agreement created through the platform and assumes no liability for disputes arising from such agreements.

6. AI-Powered Features

The platform includes optional AI-powered features including photo enhancement and listing bio generation. By using these features:

  • You acknowledge that AI-generated content may be inaccurate, incomplete, or not suitable for your specific situation. You are responsible for reviewing and approving all AI-generated content before publishing.
  • Photos submitted for AI enhancement may be processed by third-party AI services. See our Privacy Policy for details on which services are used.
  • staythevillages.com makes no warranty as to the quality or accuracy of AI-generated content and accepts no liability for decisions made based on it.

7. Automated Messaging

Certain subscription plans allow owners to configure automated emails sent to renters and leads on their behalf. Owners are solely responsible for the content of these messages and must ensure they comply with applicable law, including CAN-SPAM and any applicable anti-spam regulations. staythevillages.com is not responsible for the content of owner-configured messages.

8. Renter Responsibilities

Renters agree to provide accurate personal information when submitting inquiries and to communicate directly with property owners. You are responsible for verifying property details, lease terms, and any other conditions before entering into an agreement with a property owner. If you submit an inquiry or join a waitlist, you consent to being contacted by the relevant property owner regarding your inquiry.

9. No Agency Relationship

staythevillages.com is not a party to any lease, rental agreement, or financial transaction between owners and renters. We do not act as an agent, broker, or representative for either party. All rental arrangements are made directly between the property owner and the renter.

10. Intellectual Property

All content on the Site — including text, design, graphics, logos, and software — is the property of staythevillages.com or its content suppliers and is protected by applicable intellectual property laws. You may not reproduce, distribute, or create derivative works from any content on the Site without express written permission.

11. Disclaimer & Limitation of Liability

The Site and its content are provided “as is” without warranties of any kind, either express or implied. staythevillages.com does not guarantee the accuracy of property listings, the condition of any property, or the outcome of any rental arrangement.

To the fullest extent permitted by law, staythevillages.com shall not be liable for any direct, indirect, incidental, or consequential damages arising from your use of the Site or any transaction between owners and renters.

12. Modifications

We reserve the right to update these Terms of Service at any time. Changes will be posted on this page with an updated effective date. Your continued use of the Site after any changes constitutes acceptance of the revised terms.

13. Listing Accuracy Disclaimer

Property listings on staythevillages.com are created and maintained by individual property owners. We encourage prospective renters to verify all property details — including ownership, condition, amenities, and availability — before making any payment or signing any agreement.

staythevillages.com does not independently verify the accuracy of owner-provided listing information and is not responsible for any errors, omissions, or misrepresentations in property listings. We do not screen, qualify, or vet prospective renters on behalf of owners.

To independently verify property ownership, renters may use public county property appraiser records. Links to Sumter, Marion, and Lake County property appraiser websites are available in our Renter’s Guide.
