How to Manage Vendor Contacts for Your Villages Rental

Owning a rental property in The Villages means coordinating with a small army of service providers — cleaners, HVAC techs, plumbers, electricians, lawn crews, pest control, and more. Here's how to keep them organized so you're never scrambling when something breaks.

If you own rental property in The Villages, you probably have vendor contact info scattered across text messages, email threads, sticky notes on your fridge, and maybe a shared note with your spouse. It works — until it doesn't.

The moment your tenant calls to say the AC stopped working in July, or your cleaner texts that the garbage disposal is leaking, you need the right phone number fast. Not "let me search my texts for that HVAC guy from last year."

1. Keep a backup for critical services

2. Store notes, not just numbers

"Only available weekdays." "Uses the back gate code." "Charges $50 extra after 5 PM." These details matter when you're coordinating from out of state. Put them in the notes field where you'll actually see them.

3. Update contacts immediately when things change

Vendor changed their number? New cleaning crew? Update it now. Stale contact info is worse than no contact info — you'll waste time calling a dead number during an emergency.

Most owners maintain relationships with 5-15 vendors: a cleaner (or cleaning crew), a general handyman, an HVAC technician, a plumber, an electrician, a lawn care service, and a pest control provider. Pool owners add a pool service company. Some owners also keep contacts for appliance repair, locksmith, and carpet cleaning.

Should I use the same vendors for all my properties?

Usually yes. Vendors in The Villages typically serve the entire community, so one plumber or HVAC tech can handle all your properties.
